WordPress for Coaches: Automate Client Onboarding and Free 10+ Hours a Week

The Core Automation Stack
Before jumping into steps, here are the four plugin categories that do the heavy lifting:

- Email Sequences — Fluent CRM or MailerLite: send timed welcome and onboarding emails
- Booking — Simply Schedule Appointments or Calendly embed: eliminate back-and-forth

Step 1: Create a Smart Intake Form
Install WPForms and build a "New Client Application" form. Ask the essentials: name, email, coaching goal, biggest challenge, preferred session time. Enable form notifications to your email and, critically, enable form confirmations that redirect the client to a thank-you page with their next step (booking link).
Under Settings → Confirmations, redirect to a dedicated page: /welcome that contains your Calendly or Simply Schedule booking embed.
Step 2: Tag and Segment in Your CRM
Fluent CRM lives inside WordPress, so there's no API juggling. Connect your WPForms form to Fluent CRM using the native integration. When a form submits, automatically:
- Add the contact with tag: new-inquiry
- Add to list: Onboarding Sequence
- Record their coaching goal as a custom field
Step 3: Launch a 5-Email Welcome Sequence
Create an automation inside Fluent CRM triggered by the new-inquiry tag. Build a simple 5-email drip:
- Immediately: "Welcome + what to expect" + booking link reminder
- Day 1: Pre-work PDF or short video (what to prepare)
- Day 3: Success stories or client win to reinforce their decision
- Day 5: Gentle booking nudge if they haven't booked yet
- Day 7: FAQ — answers to common first-session questions
Use merge tags like {{first_name}} to personalise every email with zero extra effort.
Step 4: Automate the Booking Confirmation
When a client books via Calendly or Simply Schedule, create a Zap that:
- Updates their Fluent CRM tag from new-inquiry → session-booked
- Stops the Day 5 nudge email from sending (tag-based condition)
- Sends a Slack or Telegram notification to you with the client's name and session time
This prevents the awkward "still waiting to hear from you" email going out after someone has already booked.
Step 5: Add a Post-Session Follow-Up
Create a second automation triggered when a contact gets the tag session-complete (applied manually or via Zapier from your calendar). Send three emails over two weeks: a session recap template, a resource recommendation, and a re-booking prompt. This alone doubles re-booking rates for most coaches.
